Responsibilities
Answer phone calls and direct them to the appropriate departments;
Prepare correspondence and contact the post office for collection;
Distribute received correspondence to the respective recipients;
Greet internal and external visitors, identify their needs, and direct them to the relevant departments;
Maintain a visitor control spreadsheet and organize the department's files;
Manage the executive's appointment schedule, ensuring effective communication to meet all commitments;
Assist management and departments with scheduling visits, travel arrangements, hotel bookings, and transportation (airfare, bus, etc.
);
Procure office and administrative supplies through quotations following established standards;
Control and organize office supply inventory;
Maintain organized files of correspondence and documents for executives;
Coordinate maintenance requests and telephony needs.
Requirements
Enrolled in a technical course in Administration, Secretarial Studies, or related fields;
Previous experience in a similar role.
