Role Summary
Assist employees with booking, reservations, visas process, documentation and itinerary paperwork, filing receipts, and documentation. The person will be constantly communicating with employees, airlines, hotels, and travel agents. The intern will help assuring that Woodgrove Travel Polices are followed.
Essential Responsibilities
* Employee's Interaction:
* Assist employees with inquiries, bookings, and travel-related information via phone, email, or in person.
* Provide excellent customer service by addressing employee concerns, questions, and requests promptly and professionally.
* Help employees select suitable travel options based on their preferences, budget, and requirements.
* Booking and Reservation:
* Assist in booking flights, accommodations, transportation, tours, and other travel-related services.
* Input booking details accurately into reservation systems and databases.
* Confirm reservations and ensure that all necessary information is provided to clients.
* Itinerary Planning:
* Collaborate with travel team to create customized travel itineraries for employees.
* Arrange and coordinate various travel components, including flights, hotels, activities, and transfers, to create a seamless travel experience.
* Documentation and Paperwork:
* Prepare and organize necessary travel documents, such as tickets, itineraries, visas, and insurance.
* Ensure that employees have all the required documentation for their trips and provide guidance on visa and entry requirements.
* Research and Information:
* Stay updated on travel trends, destinations, and industry developments to provide accurate and relevant information to clients.
* Research and gather information about destinations, attractions, and local customs to assist clients in making informed decisions.
* Administrative Support:
* Assist with administrative tasks such as data entry, filing, and record keeping.
* Manage and organize travel-related paperwork, invoices, and receipts.
* Communication and Coordination:
* Communicate with vendors, airlines, hotels, and other service providers to ensure accurate bookings and resolve any issues that may arise.
* Coordinate logistics and communicate travel arrangements to clients.
* Problem Solving:
* Help resolve travel-related issues or disruptions that clients may encounter during their trips.
* Offer alternative solutions and options when faced with unexpected changes or challenges.
Qualifications/Requirements
* Education: Tourism, administration, marketing or corelated areas
* Language: English – Advanced Mandatory
* Spanish is a differential
* Experience with travel planning
* Proficient in company portals: E-latam, E-Gol, Azul, Passaredo, and the Wooba portal.
* Experience in planning customized domestic and international travel.
* Experience in Customer Success is a diferential
