OverviewAdaptCFO is a fast-growing outsourced accounting and finance firm supporting small and mid-sized businesses across the U.S.We are hiring a Client Experience Specialist to own the day-to-day execution of client delivery, billing accuracy, and operational coordination across the business.This role sits at the center of our organization, working directly with clients, our accounting team, and leadership to ensure:- Deliverables are completed on time and within budget- Billing is accurate and aligned with work performed- Clients are supported and retained- Operational processes run efficiently as we scaleSuccess in this role means creating a consistent, reliable client experience while reducing internal bottlenecks and identifying opportunities for growth.This is a high-impact, hands-on role with a clear path into leadership as the company grows.Key ResponsibilitiesClient Experience & Communication- Serve as a primary point of contact for assigned clients- Manage client communication, follow-ups, and requests- Support and help lead client check-ins and QBRs- Proactively identify and resolve client issuesDelivery & Budget Accountability- Track monthly deliverables across bookkeeping, controller, and CFO services- Ensure deadlines are met (10–15 business day close target)- Monitor team utilization and ensure work stays within budget- Flag risks early and drive resolutionBilling & Revenue Accuracy- Assist with client billing and invoice preparation- Ensure billing aligns with scope, deliverables, and hours worked- Identify underbilling, missed charges, and scope creep- Help maintain consistent and scalable billing processesUpsells & Account Growth- Identify opportunities for additional services (CFO, cleanup, add-ons)- Surface opportunities to leadership and support execution- Ensure clients are properly scoped as they growOnboarding- Support onboarding of new clients- Coordinate data collection, access, and system setup- Ensure a smooth transition into recurring workflowsTeam Coordination- Work closely with offshore accounting team (Philippines) and U.S.-based CFOs- Maintain clear communication and accountability across teams- Identify performance gaps and escalate when neededOperations & Process Improvement- Help build and refine SOPs across onboarding, delivery, and billing- Identify inefficiencies and implement improvements- Support operational structure as the company scalesWhat Success Looks Like- Clients are satisfied, retained, and not escalating issues- Monthly closes are consistently on time- Work is delivered within budgeted hours- Billing is accurate, complete, and timely- Upsell opportunities are identified and acted on- Leadership is not pulled into day-to-day executionQualifications- 2–5+ years of experience in operations, client services, or service-based businesses- Strong written and verbal English communication skills- Highly organized with strong attention to detail- Comfortable managing multiple clients and priorities- Ability to hold team members accountable in a professional way- Experience in accounting, finance, or professional services is a strong plus- Experience with tools like QuickBooks, HubSpot, or similar platforms is a plusCompensation- Base Salary: $24,000 – $42,000 USD (depending on experience)Performance Bonus- Annual bonus tied to client retention- Additional upside tied to upsell support and revenue growthWhy AdaptCFO- Fully remote team- High ownership role with direct impact on the business- Clear path to leadership as the company grows- Exposure to U.S.-based clients and finance operations- Fast-paced, entrepreneurial environment
