Podcast Producer Job Description:
We are seeking a highly organized and detail-oriented Podcast Production Specialist to manage the full production workflow of our weekly interview podcast.
Duties and Responsibilities:
* Manage all communication with guests from initial outreach to post-episode follow-up, ensuring seamless collaboration and timely updates.
* Schedule interviews, send confirmations/reminders, and provide prep materials to ensure guests are well-prepared for the recording session.
* Collect bios, headshots, books, links, and required release forms from guests, maintaining accurate records and ensuring compliance with industry standards.
* Prepare episode briefs and host prep sheets, outlining key topics, questions, and discussion points to guide the conversation.
* Attend live recordings (optional but preferred) to track timestamps and notes, providing valuable insights for post-production editing.
* Review raw audio/video and provide clear, detailed edit notes to the editor, ensuring high-quality final product.
* Restructure episodes when needed for clarity, flow, and narrative arc, working closely with the editor to achieve the desired outcome.
* Collaborate on episode titles, angles, hooks, and story direction, contributing to the overall creative vision of the podcast.
* Choose main promotional clips and quotes for social content, selecting engaging and attention-grabbing materials that showcase the podcast's unique value proposition.
* Send the editor cut notes that are clear, accurate, and time-stamped, facilitating efficient post-production work and minimizing revisions.
* Review first edit, request revisions, and ensure quality before publishing, guaranteeing consistency with brand standards and industry best practices.
* Ensure the final episode reflects brand voice, pacing, clarity, and guest experience, meeting the highest expectations of listeners and advertisers alike.
* Write compelling show notes, descriptions, summaries, and timestamps, capturing the essence of each episode and encouraging engagement among listeners.
* Prepare publishing assets (titles, tags, categories, episode artwork if needed), optimizing discoverability and reach through strategic metadata.
* Upload weekly episodes to our hosting platform, ensuring timely delivery and maximum visibility in the market.
* Track episode performance metrics and maintain publishing calendar, analyzing data to inform future content strategies and improve overall podcast effectiveness.
* Coordinate with the social media team to deliver clips, quotes, and captions, fostering cross-promotion and amplifying the podcast's online presence.
* Identify promotional opportunities through guests' audiences, leveraging relationships to expand the podcast's reach and build new audiences.
* Assist in creating sponsorship decks and packages, developing targeted marketing materials that appeal to potential advertisers.
* Research relevant brand partners to pitch, identifying strategic alliances that align with the podcast's values and goals.
* Coordinate guest cross-promotion to increase downloads, facilitating mutually beneficial collaborations that drive engagement and growth.
* Identify podcast swaps and collaboration opportunities, exploring new avenues for creativity and audience expansion.
* Track growth trends and propose strategies to expand reach, continuously adapting to changing listener preferences and market conditions.
1. Research aligned podcasts across wellness, entrepreneurship, marketing, leadership, mental health, women's health, lifestyle medicine, and business growth, identifying potential collaboration partners and sources of inspiration.
2. Create a list of high-quality podcasts suitable for Riley as a guest, recommending shows that align with her interests and expertise.
3. Draft personalized podcast pitches in Riley's voice, crafting compelling narratives that showcase her unique perspective and value proposition.
4. Send and manage outreach emails to podcast hosts and producers, building relationships and securing future appearances.
5. Track outreach, follow-ups, and confirmed appearances in Notion or a CRM, streamlining the process and maximizing efficiency.
6. Coordinate scheduling, prep materials, and talking points, ensuring a seamless guest experience and professional presentation.
7. Prepare Riley with a one-sheet, interview brief, and relevant episodes of the host, equipping her for success and confidence in each appearance.
8. Identify opportunities for backlinks, newsletter swaps, and co-marketing, exploring innovative ways to amplify the podcast's impact and influence.
9. Track results and optimize pitches based on acceptance rates, continually refining the approach to maximize returns and minimize waste.
