Job Summary:
Administrative Associate Role
We are seeking an experienced and highly organized individual to fill the position of Administrative Associate. As a key member of our team, you will be responsible for providing administrative support to ensure the smooth operation of our department.
1. Financial Management:
* Manage IT orders and invoices, ensuring timely payment and accurate tracking.
* Maintain spreadsheets and documents related to payment processing, adhering to deadlines and due dates.
* Collaborate with ICT Director, Infrastructure Manager, and Applications Manager to identify cost-saving opportunities and renegotiate contracts.
2. Customer Service:
* Organize events promoting well-being and integration among team members and other departments.
* Provide technology resources, follow-up, and continuous process improvement suggestions in partnership with various areas.
* Report on technology usage to senior management, including printers, cellphones, and internet services.
* Respond to inquiries from callers and walk-ins, directing them to relevant staff as needed.
* Process service tickets for equipment repairs and monitor their status until completion.
* Assist in maintaining equipment inventory and performing other administrative duties assigned by management.
3. Administrative Support:
* Create and modify documents, budgets, and communications using office productivity software.
* Perform general tasks such as photocopying, mailing, and filing.
* Maintain hard copy and electronic filing systems.
* Collect and distribute mail, purchase office supplies, and coordinate purchasing.
* Operate personal computers to access email, calendars, and other office software.
4. Expatriates Support:
* In collaboration with ICT and HR colleagues, assist expatriates in selecting and installing home cable TV, Internet services, and mobile devices.
* Coordinate cancellations/changes of service packages and address changes of cable TV & internet services.
* Process billing for these services and maintain electronic and payment records.
This role requires strong financial management skills, excellent customer service abilities, and proficiency in MS Office. Knowledge of office management systems and procedures is beneficial.
