Job Title: Operational Specialist & Executive SupportClient's Company OverviewWe are a growing digital marketing agency managing multiple clients, campaigns, and internal workflows. We are seeking a highly organized individual to help structure operations, improve efficiency, and ensure execution across the business.Hours: 20 hours/week to start and transition to full-time based on performance. ResponsibilitiesAct as a central coordinator across the business, ensuring tasks and projects move forwardManage and organize workflows within project management tools (e.g., ClickUp or similar)Convert incoming requests (emails, client needs, files) into structured tasks and workflowsUpload, organize, and manage deliverables (e.g., CSV files, campaign assets)Create and maintain Standard Operating Procedures (SOPs)Track progress across team members (copywriter, PPC, leadership) and follow up as neededPrepare meeting logistics:Calendar managementAgendas and remindersHelp document business processes and improve operational structureIdentify inefficiencies and propose better workflowsUse AI tools (e.g., ChatGPT, Claude) to improve efficiency and documentationSupport leadership by maintaining visibility across all ongoing workQualificationsExperience supporting senior leadership, founders, or small teamsStrong organizational and project coordination skillsProven ability to create SOPs and structured workflowsHigh attention to detail and reliability (nothing falls through the cracks)Strong written and verbal communication skillsAbility to think beyond task execution and understand business-level contextComfortable using project management tools (ClickUp, Monday, Asana, etc.)Proactive mindset with ownership mentalityPreferred QualificationsExperience in digital marketing or agency environmentsFamiliarity with Entrepreneurial Operating System (EOS) or similar frameworksExperience working with AI tools for workflow or documentationAbility to think like a decision-maker (without necessarily making final decisions)Experience helping teams become more organized and scalable
