As the Sales Project Manager, you will be responsible for keeping the sales function organized, structured, and operating efficiently. This role supports sales operations by managing systems, logistics, documentation, and coordination so that senior team members can focus on business development, client strategy, and relationships. The Sales Project Manager focuses on the internal operations of the sales process rather than direct client communication or sales strategy.
Responsibilities
Maintain accurate information across HubSpot, ClickUp, and supporting trackers
Keep deals updated with correct stages, close dates, values, and call notes
Create and manage tasks for pitches, audits, and follow-ups, ensuring ownership and deadlines are clear
Schedule internal meetings for sales-related initiatives such as pitch prep, client onboarding, and internal alignments
Share meeting materials, agendas, and links to ensure stakeholder preparation
Prepare and update sales decks from templates, applying current branding and client details
Keep Google Drive organized for all active opportunities and manage archiving of completed deals
Support seamless sales-to-delivery handoffs by setting up HubSpot, Slack, and ClickUp with updated client information
Track commitments and special terms from the sales process to ensure proper follow-up
Monitor proposal deadlines, follow-up touchpoints, and key sales milestones
Send proactive reminders to keep deals moving forward and prevent stagnation
Support prospect reactivation workflows by maintaining clean lists, logging outreach, and tracking outcomes
Help manage the partnerships program through list maintenance, lead tracking, and scheduling partner check-ins
Requirements
3+ years of experience in project coordination, operations, sales support, or related roles
Proficiency with sales and project management tools such as HubSpot, ClickUp, and Google Workspace
Strong organizational and communication skills with attention to detail
Ability to manage multiple priorities and maintain system accuracy under deadlines
Proactive approach to follow-through and accountability
Comfortable working in a collaborative, cross-functional environment
Experience supporting B2B service or agency sales processes preferred
