Job Summary

This Jr-level role supports the commercial team with administrative tasks related to proposals and contracts, serving as a foundation for a career in a dynamic and growing industry.
Responsibilities
1. Provide administrative support to the Proposal and Contracts Management team (e.g., photocopying, managing travel logistics, report generation, filing, scheduling meetings, data/document compilation).
2. Assist SharePoint administrator in managing access and locating files.
3. Handle complex assignments independently within guidelines, resolving problems and developing recommendations.
4. Research and compile data; analyze data for special projects as needed.
5. Support low-complexity projects related to proposal and contract management (e.g., contract management, cost estimation, invoicing).
6. Facilitate documented processes, ensuring adherence to steps and objectives.
7. Assist in improving process efficiency and quality of deliverables.
8. Coordinate client visits, including drafting agendas and managing logistics.
9. Perform timely data entry into corporate databases.
10. Generate scheduled and ad-hoc reports.
11. Coordinate onboarding activities for new team members.
12. Contribute to process improvement initiatives and support their implementation.
13. Ensure department compliance training is up-to-date and coordinate related activities.
14. Perform additional duties as assigned by the manager.
Minimum Qualifications
* At least 3 years of relevant experience.
* Excellent customer service skills, attention to detail, and tactful persistence.
* Proficiency in MS Office (Excel, Word, Outlook).
* Strong planning, multi-tasking, and prioritization skills.
* Effective teamwork, communication, and organizational skills.
* Ability to work independently and communicate effectively.
* Positive attitude and sense of urgency.
