Biological Sciences Coordinator

You'll be responsible for analyzing and coordinating essential processes to ensure seamless operations in our dynamic department. Your role encompasses diverse administrative responsibilities, academic support services, and direct assistance to faculty, staff, and students. Working with moderate complexity tasks under general supervision, you'll help maintain the high standards that make our biological sciences program nationally recognized.
1. Documentation Preparation: Assist with the preparation and production of complex documentation, such as course line schedules, graduate/undergraduate student forms, grant proposals, and partnership agreements.
2. Record Management: Assist in the preparation and control of records, statistics, and reports regarding department operations; generates reports as specified such as tracking faculty actions, undergrad/grad student progress and majors/minors, catalog updates, Course Inventory Management (CIM), etc.
3. Inquiry Response: Responds to varied and often complex inquiries from students, faculty, and staff requiring a basic understanding of University and departmental programs, services, policies, and procedures.
4. Scheduling and Coordination: Schedules and coordinates appointments, visits, and/or meetings.
5. Data Analysis: May work with Lehigh's financial systems and tools to compute, classify, record, and verify data for departmental accounting records; identifies discrepancies for supervisor.
6. Administrative Support: Assist with submitting hiring set-up and request forms/payroll forms/AP check requests/deposit transmittals/funding transfer forms/etc. for department/program.
7. Office Maintenance: Order and maintain office supplies, books, computers and equipment.
8. Equipment Arrangement: Arrange for office equipment purchases/contracts/repairs/service.
9. General Office Operations: Provide administrative support for general office operations such as receptionist tasks – meet, greet and assist visitors, take phone calls and messages, retrieve/send and organize mail, schedule meetings and update calendars.
