OverviewAdaptCFO is a fast-growing outsourced accounting and finance firm supporting small and mid-sized businesses across the U.S.We are hiring a Client Experience Specialist to own the day-to-day execution of client delivery, billing accuracy, and operational coordination across the business.This role sits at the center of our organization, working directly with clients, our accounting team, and leadership to ensure:Deliverables are completed on time and within budgetBilling is accurate and aligned with work performedClients are supported and retainedOperational processes run efficiently as we scaleSuccess in this role means creating a consistent, reliable client experience while reducing internal bottlenecks and identifying opportunities for growth.This is a high-impact, hands-on role with a clear path into leadership as the company grows.Key ResponsibilitiesClient Experience & CommunicationServe as a primary point of contact for assigned clientsManage client communication, follow-ups, and requestsSupport and help lead client check-ins and QBRsProactively identify and resolve client issuesDelivery & Budget AccountabilityTrack monthly deliverables across bookkeeping, controller, and CFO servicesEnsure deadlines are met (10–15 business day close target)Monitor team utilization and ensure work stays within budgetFlag risks early and drive resolutionBilling & Revenue AccuracyAssist with client billing and invoice preparationEnsure billing aligns with scope, deliverables, and hours workedIdentify underbilling, missed charges, and scope creepHelp maintain consistent and scalable billing processesUpsells & Account GrowthIdentify opportunities for additional services (CFO, cleanup, add-ons)Surface opportunities to leadership and support executionEnsure clients are properly scoped as they growOnboardingSupport onboarding of new clientsCoordinate data collection, access, and system setupEnsure a smooth transition into recurring workflowsTeam CoordinationWork closely with offshore accounting team (Philippines) and U.S.-based CFOsMaintain clear communication and accountability across teamsIdentify performance gaps and escalate when neededOperations & Process ImprovementHelp build and refine SOPs across onboarding, delivery, and billingIdentify inefficiencies and implement improvementsSupport operational structure as the company scalesWhat Success Looks LikeClients are satisfied, retained, and not escalating issuesMonthly closes are consistently on timeWork is delivered within budgeted hoursBilling is accurate, complete, and timelyUpsell opportunities are identified and acted onLeadership is not pulled into day-to-day executionQualifications2–5+ years of experience in operations, client services, or service-based businessesStrong written and verbal English communication skillsHighly organized with strong attention to detailComfortable managing multiple clients and prioritiesAbility to hold team members accountable in a professional wayExperience in accounting, finance, or professional services is a strong plusExperience with tools like QuickBooks, HubSpot, or similar platforms is a plusCompensationBase Salary: $24,000 – $42,000 USD (depending on experience)Performance BonusAnnual bonus tied to client retentionAdditional upside tied to upsell support and revenue growthWhy AdaptCFOFully remote teamHigh ownership role with direct impact on the businessClear path to leadership as the company growsExposure to U.S.-based clients and finance operationsFast-paced, entrepreneurial environment
