Job Summary
The Accounts Coordinator will be responsible for ensuring the accurate and timely processing of invoices and payroll for contracted nursing services. This role requires close attention to detail, effective communication with internal departments and external subcontracted agencies, and maintaining organized records to support the financial operations of the organization. The Accounts Coordinator will also ensure compliance with executed agreements, maintain proper documentation, and assist with resolving payment-related inquiries.
Schedule Details
* Location: On-Site, Laguna Hills, CA.
* Hours: Monday-Friday, 8:00 AM - 4:30 PM
Duties and Responsibilities
* Review and analyze invoices received from nursing agencies to ensure they comply with established agreements or contracts.
* Examine accompanying nurse visit notes from agencies for accuracy and completeness.
* Utilize Alyacare software to verify each visit by an internal nurse is paid correctly according to the signed agreement on file.
* Collaborate with Regional Directors of Nursing to verify and clarify any nursing documentation as needed.
* Maintain a well-organized digital record-keeping system for all incoming invoices and associated documentation.
* Update and monitor agency activity using both Excel and CPR+.
* Gather and keep current all necessary documentation from subcontracted agencies, such as W-9 forms, liability insurance certificates, and business licenses.
* Communicate with the accounting department once invoices have been approved for processing.
* Inform medical reception and external agencies upon the approval of nursing notes and invoices.
* Proactively follow up on any outstanding invoices or incomplete documentation.
* Address payment status inquiries from external agencies promptly and professionally.
* Provide support with other administrative and finance-related tasks as required.
Experience & Skills Requirements
* Proficient in Microsoft Excel, Google Suite, and various financial software systems.
* Demonstrated analytical and critical thinking abilities, with the capacity to interpret contracts, nursing documentation, and payment terms.
* Excellent verbal and written communication skills.
* Exceptional attention to detail and the ability to effectively manage multiple tasks concurrently.
* Capable of working both independently and collaboratively within a dynamic environment.
Preferred Qualifications
* High school diploma or equivalent
* Previous experience in accounts payable, bookkeeping, or financial administration.
* Experience in acquiring, maintaining, and verifying required documentation from nursing agencies.
