The Role
We seek a resourceful individual who can balance vital responsibilities with initiative. In this role, your primary mission will be to provide top-class executive support involving diverse duties critical to ensuring smooth business processes.
Key Responsibilities:
1. Heavy calendar management - coordinating complex meeting schedules including international participants.
2. Events - coordinating events and meetings from recurring staff meetings to Town Hall meetings, managing project details, logistics, IT coordination, and support required for these events and meetings.
3. Board Preparation - preparing communication, materials, and meeting preparation for the Board of Directors with perfect execution.
4. Office Support - performing various administrative tasks, travel coordination, expense reimbursements, filing, etc.
Requirements:
1. Ability to handle sensitive communications, data, and information with confidentiality and discretion.
2. Establishing strong relationships within the administrative team through effective communication and networking.
3. Utilizing knowledge of company operations, policies, and department functions to proactively perform assigned duties with minimal supervision.
4. Resiliency and ability to diplomatically ensure objectives are met while presenting oneself as a representative of the Manager's office to internal and external audiences.
5. Ability to speak clearly and succinctly relative to needs, questions, goals, etc. Directly asking for clarification, guidance, opinions, etc. to ensure accurate delivery on commitments, scheduling needs, meeting set-up, etc.
6. Ability to act independently, operating on accurate details and excellent judgment. Identifying and leveraging resources within the business to clarify needs, delegate tasks, etc. to keep a busy desk operating smoothly and efficiently.
7. A 'can-do' perspective is imperative, and the ability to simply 'get-things-done' under ambiguous, time-constrained, high-pressure circumstances routinely.
8. Effective interpersonal skills to be capable of working with all levels of office personnel.
9. Advanced proficiency in MS Office
