We are seeking a highly organized and detail-oriented Administrative Assistant to support our team onsite in Brazil. This role requires excellent communication skills, fluency in English (speaking, reading, and writing), and a strong aptitude for working with software tools. The ideal candidate will be comfortable interacting with customers, supporting internal teams, and ensuring smooth daily operations within our business.
Key Responsibilities
* Provide day-to-day administrative and operational support to leadership and internal teams.
* Communicate professionally with customers via phone, email, and in-person, in fluent English.
* Manage and maintain schedules, appointments, and meeting logistics.
* Prepare documents, presentations, and reports as needed.
* Enter, update, and maintain data in various software platforms, including monday.Com and related tools.
* Support customer onboarding processes and respond to basic client inquiries.
* Coordinate with different departments to ensure tasks and projects progress on schedule.
* Perform general office duties such as filing, expense tracking, and record keeping.
Requirements
* Fluent in English (speaking, reading, and writing).
* Proven experience in administrative, executive assistant, or customer service roles.
* Strong communication and interpersonal skills.
* High level of software proficiency, including:
* Project management tools (monday.Com experience preferred).
* Office suite applications (Google Workspace or Microsoft Office).
* Ability to quickly learn and navigate new software platforms.
* Excellent organizational and time management skills.
* Proactive, resourceful, and able to work independently while collaborating effectively with the team.
