Category Management
(1)Align with Client Sourcing Managers to understand, document, and prioritize business objectives and targets.
(2)Partner with Client Sourcing Managers to develop and maintain category management strategies and monitor strategy compliance.
(3)Recommend category improvement targets (e.g., spend, performance, supplier rationalization, cost avoidance).
(4)Develop and maintain list of software and hardware suppliers and determine long term supplier relationship strategy, including:
· Identify high-volume suppliers
· Conduct supplier fragmentation analysis
· Determine and implement opportunities to consolidate one-off purchases with suppliers and shift purchases to Client contract templates
(5)Publish and communicate progress on category improvement targets to Client Sourcing Managers.
(6)Develop and maintain an understanding of consumption drivers and requestor's buying criteria, including underlying drivers for purchases off-catalog.
(7)Review current catalogs and software and hardware purchasing process to identify ways to drive more volume and efficiency through channels identified in category strategy.
(8)Aggregate and track demand volume within category and purchasing channel.
(9)Coordinate with internal stakeholders and Client Sourcing Managers to manage sourcing and procurement pipeline to anticipate upcoming sourcing and procurement activity.
(10)Partner with Client Sourcing Managers to engage stakeholders to identify demand management / consumption issues and opportunities.
(11)Develop and execute Client-approved demand management / rationalization plan.
(12)Measure / quantify and track results of demand management program.
(13)Develop and maintain Client-approved compliance management strategy and plan for software and hardware based on category strategy.
(14)Develop, implement, and maintain compliance tracking process.
(15)Monitor requestor and buyer compliance with contracts, policies, procedures, and processes.
(16)Track and analyze exceptions to identify repeat offenders, impact, and opportunities.
(17)Publish and communicate compliance reports, results, and insights.
Case Intake and Identification.
(1)Develop and maintain intake process, including detailed process documentation and DTPs, for software and hardware purchases.
(1)Manage the daily Case queue in the Client system and continuously check for and accept or assign Cases as appropriate and per Client guidelines.
(2)Triage new Cases that adhere to input parameters, clear requirements, complete contact information.
(3)Perform Case workflow actions, including, but not limited to, tracking Case status, transfer of ownership, timestamps of all significant events and milestones, and event reminders.
(4)Educate and train requestors on specific templates for Case creation, tagging, and routing, where needed.
(5)Oversee overall quality of inputs for completeness of requirements submitted on first pass by requestors and educate requestors where gaps identified.
(6)Escalate to Client Sourcing Managers where Vendor is unable to get requestor to respond timely.
(7) Work to proactively identify spend that does not align with the category strategy or Client policy ( "Maverick Spend”) and guide spend towards category strategy and Client policies.
(8)For identified Maverick Spend, provide buyer with similar alternatives that are approved by Client and influence buyer towards following sourcing policy for software purchases.
(9)Document and track success in converting Maverick Spend to policy compliance.
Sourcing Tools and Templates Maintenance.
(1)Build and maintain Client-approved templates to support sourcing events, including:
· RFx templates
· Proposal evaluation methodologies and criteria (e.g., objectives, weighting/scoring)
· Catalog of goods, services, and specifications
· Library of performance metrics (e.g., critical service levels, key performance indicators)
· Pricing templates
· Cost analysis tools
· Project kick off decks
· Project plans decks
(2)Provide access or support to Client to use Vendor maintained templates.
Strategic Sourcing.
(1)Plan for competitive bidding and sourcing events, including:
· Identifying demand drivers and opportunities to consolidate supplier purchases to create a pipeline
· Build and confirm the pipeline of upcoming / recurring projects with stakeholders
· Determine sourcing approaches for the prioritized opportunities
(2)Collaborate with Client to prioritize the project pipeline based on evaluation of key factors and feedback from stakeholders.
(3)Prepare and finalize Client-approved sourcing strategy and plan.
(4)Execute sourcing activities (RFx events) in coordination with Client, including:
· Develop and distribute RFx documentation
· Manage event planning and communications (sourcing timelines, Q&A)
· Coordinate responses from suppliers
· Evaluate supplier responses
· Develop summary presentations and recommendations
(5)Review and conduct a first pass of proposed redlines of the supplier's proposal and partner with Client requestor and Client Sourcing Managers.
(6)Provide supplier with feedback on the commercial aspects of the proposal, create a redlined version with required changes, iterate and negotiate with the supplier to finalize commercial aspects of the proposal. Review all contracts with Client Sourcing Manager prior to final execution.
(7)Review competitive bidding results and adjust approach as needed.
(8)Complete a contract intake form based on the supplier proposal.
(9)Facilitate contracting process and support the Global Sourcing Contracts team as needed.
Metrics and Reporting.
(1)Develop and implement in collaboration with Client an approved annual savings plan with specific savings opportunities outlined and gaps to be addressed.
(2) Confirm overall savings methodology with Client and report total savings using the Client savings tracker.
(3)Confirm accuracy of reports and supporting data and correct data as needed.
(4) Develop and provide a weekly status update on category metrics, events, and reports.
(5)Review reports/status updates with Client.
(6)Provide reports/insights to other cross-functional teams and requestors as needed.
(7)Document feedback from Client on areas for improvement and key action items.
(8)Work with Client to revise metrics and determine continuous improvement opportunities.
