We are seeking a highly organized and detail-oriented Project Coordinator to join our team. The ideal candidate possesses excellent English language skills, exceptional note‑taking abilities, and previous experience working for an agency. As a Project Coordinator, you will be responsible for supporting project management efforts, providing executive assistance, and ensuring the successful execution of various projects.
What You’ll Do:
Collaborate with project managers, stakeholders, clients, and team members to develop and maintain project schedules, ensuring tasks are completed on time and within budget.
Attend meetings, record minutes, and accurately document key discussions, action items, and decisions.
Prepare and distribute project‑related communications, reports, and presentations as needed.
Assist with project planning, including resource allocation, timeline development, and risk assessment.
Monitor project progress and identify any potential issues or roadblocks, promptly notifying the project manager and recommending appropriate solutions.
Coordinate project‑related logistics, such as meetings.
Support the project team by organizing and maintaining project documentation, files, and databases.
Conduct research, gather data, and assist in preparing project proposals, contracts, and other project‑related materials.
Assist with budget tracking and expense management, ensuring accuracy and adherence to financial guidelines.
Provide executive assistance to project managers, including managing calendars, scheduling appointments, and handling correspondence.
What You Should Have:
Excellent command of the English language, both written and verbal, with exceptional communication skills.
Proven experience in note‑taking, with the ability to capture and document important details accurately and efficiently.
Previous experience working for an agency or similar fast‑paced environment is highly desirable.
Strong organizational skills and the ability to prioritize tasks effectively, ensuring timely completion of assignments.
Proficient in using project management software and tools to manage tasks, timelines, and resources.
Demonstrated ability to work collaboratively in a team environment and build relationships with internal and external stakeholders.
Strong problem‑solving skills, with the ability to identify issues and propose effective solutions.
Attention to detail and commitment to delivering high‑quality work.
Ability to work under pressure and meet deadlines in a fast‑paced environment.
Bachelor's degree in a relevant field is preferred, but equivalent work experience will also be considered.
