That’s what this role is.About the RoleYou’ll serve as the right hand to the Director of Operations—providing direct administrative, operational, and financial support while acting as the accountability engine that keeps everything moving forward. This is not a “take notes and schedule meetings” role. This is a role where you own systems, chase down loose ends, flag what’s falling through the cracks, and push back when things aren’t getting done—including pushing back on the person you report to.The Director will be the first to tell you: he’s a big-picture operator, not a details person. He needs someone who fills that gap—someone who tracks every commitment, follows up relentlessly, and isn’t afraid to say “Hey, this still isn’t done and it needs to be.” If that sounds like you, this role will give you more autonomy, exposure, and impact than most EA positions ever will.You should be highly organized, financially literate, tech-savvy, and comfortable using AI tools daily to multiply your output and improve workflows across the organization.What Makes You DifferentWe’ve titled this section intentionally. It’s a two-way street built on mutual respect.Key ResponsibilitiesAccountability & Follow-ThroughOwn the Director’s task list, commitments, and deadlines—track every open item and ensure nothing falls through the cracksFollow up proactively on outstanding deliverables across departments, vendors, and leadershipSend reminders, escalate delays, and push back professionally when timelines are slippingMaintain a running accountability tracker—who owes what, by when, and what’s overdueServe as the “closing engine” that turns conversations and commitments into completed tasksAI-Driven Operations & Process OptimizationUse AI tools (Claude, Gemini, workflow automations) to draft communications, summarize reports, and streamline documentationMaintain AI-assisted trackers, dashboards, and reporting systemsContinuously improve operational processes using AI-enhanced workflowsAdministrative & Executive SupportManage the Director’s calendar, scheduling, and meeting coordinationTrack ongoing priorities, deadlines, and deliverables using digital project management systemsMaintain organized, searchable digital filing systemsPrepare meeting agendas, capture action items, and ensure follow-up executionFinancial & Reporting SupportAssist in preparing financial reports, expense summaries, and budget trackersReview invoices, receipts, and statements for accuracy before approvalSupport monthly reporting cycles with clear, data-backed updatesLeverage AI tools to analyze financial data and flag discrepancies or trendsProperty-Level Coordination & CommunicationSupport property-level day-to-day operations as directedContact vendors for invoices, and service updates—and follow up until closedOur Core ValuesAt Carbon, our core values aren’t aspirational posters on a wall.
