Role Overview
We are seeking a proactive and highly organized Administrative & Financial Specialist to support our office in São Paulo.
This hybrid role involves managing facility operations, accounts payable activities, and serving as an interpreter for Portuguese, English, and Mandarin.
The ideal candidate is detail-oriented, fluent in the three languages, and capable of thriving in a dynamic, multicultural work environment.

Job Description
Facilities Management
Coordinate daily office operations, including scheduling meetings, managing calendars, and supporting internal communications.
Handle travel arrangements, event logistics, and general administrative requests for the team.
Assist with document preparation, filing, and data entry to ensure smooth workflow across departments.
Oversee daily office operations and maintenance needs.
Financial Operations
Process accounts payable transactions and ensure timely payments.
Maintain accurate financial records and support monthly closing.
Assist with budget tracking, vendor invoicing, and compliance checks.
Other Duties
Provide real-time interpretation (Portuguese, English, Mandarin) during meetings, visits, and calls.
Translate documents and internal communications as needed.
Support expatriate employees and act as cultural liaison when necessary.
Coordinate travel arrangements and expense reporting.
Be available for occasional national and international travel.
Qualifications
Bachelor's degree in Business Administration, Finance, or related field.
Minimum of 3 years' experience in administrative, finance, or bilingual roles.
Fluency in Portuguese, English, and Mandarin (oral and written).
Valid Brazilian driver's license (CNH).
Availability for travel as needed.
Strong organizational, interpersonal, and communication skills.
Experience in multinational environments and with Chinese corporate culture is a plus.
