As a Sales and Client Coordinator, you'll help manage client communications, track sales opportunities, prepare key documents, and collaborate with Finance, Client Success, and Operations to ensure smooth and successful client engagements.

What You'll Do
1) Client & Deal Flow Coordination
* Attend prospect and client calls using AI notetakers to capture detailed notes, key points, and next steps. Log updates in HubSpot or ClickUp within 2 hours to maintain accurate records.
* Prepare tailored sales dossiers, meeting briefs, and follow-up materials to ensure well-informed client interactions.
* Coordinate with internal teams — including founders, delivery, legal, and finance — on contracts, invoicing, and client deadlines to prevent bottlenecks.
2) Sales Outreach & Pipeline Management
* Conduct outbound research on target accounts, prospects, industries, and competitors using tools like LinkedIn Sales Navigator, Apollo, or HeyReach.
* Launch personalized outreach campaigns to drive engagement and book qualified discovery calls.
* Maintain a clean, organized CRM and sales pipeline in HubSpot and ClickUp, running consistent follow-ups via email, phone, and LinkedIn to nurture leads and progress deals.
3) Contract & Post-Sale Coordination
* Draft, manage, and track SOWs, NDAs, and contracts through signature, collaborating with Finance on billing and invoicing.
* Serve as the first line of client support for post-sale issues, capture feedback, identify upsell opportunities, and escalate concerns to relevant teams.
4) Reporting & Process Optimization
* Build weekly dashboards and reports highlighting stuck deals, upcoming renewals, and at-risk follow-ups.
* Conduct quarterly win/loss analyses to improve sales effectiveness.
* Automate repetitive tasks and workflows using tools like Zapier, HubSpot Workflows, or AI solutions, while suggesting process improvements to streamline the sales cycle.
5) Relationship & Client Engagement
* Track client birthdays and milestones, sending personalized messages or small gifts to strengthen relationships.
