We are searching for the best talent for an Executive Planner, located in Sao Paulo.
The Executive Planner for the Global Legal Organization (GLO) in Brazil will play a key role in driving the execution of three strategic pillars: Governance, ensuring compliance and effective decision-making; Culture, fostering a collaborative, diverse, and ethical work environment; and Administrative Support, handling essential tasks such as scheduling, budgeting, and resource coordination.
The Executive Planner will serve the Legal Organization and report to the Regional Legal Vice-Presidents.
Key responsibilities:
1.
Organize Governance Forums: Coordinate and handle key forums such as Talent Councils, ensuring productive discussions on talent management and organizational priorities.
2.
Handle metrics and Talent Conversations: Track and align Objectives and Key Results goals and facilitate talent conversations to support employee development and succession planning.
3.
Coordinate Budget and Financial Operations: Monitor and handle the budget ensuring financial resources are allocated optimally and within compliance.
4.
Facilitate Team Meetings and Communications: Plan and implement regular team meetings, events, ensuring clear communication of objectives, updates, and key initiatives across the organization.
5.
Promote a Positive Organizational Culture: Support initiatives that cultivate an inclusive and collaborative team environment, aligning with the organization's culture and values.
6.
Handle Administrative Tasks: Manage payments, expense reports, and travel arrangements, ensuring efficiency and adherence to internal policies.
7.
Calendar and Schedule Management: Coordinate scheduling and calendar management for senior leaders, ensuring alignment of priorities and optimizing time management.
**Qualifications**:
**Education**:
- Bachelor Degree or equivalent experience in Business Administration, Humanities, Social Science, Economics, Technology or related
Professional Experience:
- At least 5 years in office administrative management and assistance to senior leaders of different countries, with good experience in project management and coordination or regional tasks
Knowledge & Skills:
- Analytical with strong organization abilities
- Robust verbal and written communication in Portuguese and English
- Great connection, relationship and team work capabilities
- Holistic view of situations presented with attention to details
- Coordination and facilitation
- Time management and prioritization
- Advanced knowledge on PowerPoint, Word, Excel and on Presentations in general
- Fluent English (Spanish is a plus)
- Intermediate/ advanced Spanish
