**Purpose**:
To execute required agency services to clients as per our Standard Operating Procedures, endeavouring at all times to manage the efficient and effective handling of the vessels while under our responsibility. Ensure a high-quality service, a quick turnaround and minimise expenses to the vessel, owners and / or operators. The role requires that we protect and safeguard the interest of the principal, master and crew at all times.
**Main responsibilities**:
- Pre-plan the arrival of vessels and the activities required for each call;
- Ensure that all necessary arrangements have been done before arrival;
- While the vessel is in port, supervise the port activities to make sure everything is going according to plan;
- Perform all related data entry for the Vessel activities and PDAs;
- Provide all the accurate local port expenses for vessel inward/outward clearance to clients
- Undertake overall responsibility for all aspects of the port call
- Make sure all arrangements are done to avoid delay of berthing or departure
- Must have the ability to coordinate with the Port Authority and other Authorities (customs, immigration, port health, etc.) of the port operational team about arrival and departure formalities of vessels;
- Maintain an excellent relationships and communication with our principals and service providers;
- Responsible for logging, informing and seeking approval for any additional requirements during the vessels’ port stay that is outside the agreed scope of work;
- Advise the master carefully about the port regulation, working and document required;
- Well acquainted of all agency work involved during the Vessel stay in port;
- Ensure immediate communication to the principal at all times;
- Liaise with the Finance department on SOA and follow up on outstanding funds for the vessels under your responsibility;
- Provide a weekly report to the Operations Manager regarding the weekly activity
- Seek continuous improvements in our operational procedures;
- Strong problem solving and analytical skills is essential as you will be required to analyse operational data to help improve efficiencies and to also predict operational problems;
**Accountabilities**:
Ensure that the Quality of the service rendered is up to Waypoint standards.
Speedily correspond with Principals on all operational matters and vessel activities.
Needs to be good communicator who is capable of report writing in a clear and structured way.
**Main Qualifications**:
- Fluent in the local language, spoken, written and reading
- Fluent in English speaking, reading and writing
- Have a clean police conduct report
- At ease with the latest IT solutions: excel expertise for management of analytical data and report issuance; also able to handle smart phone technology
- Preferably with experience in the shipping industry with clearly knowledge of port operation and familiarity with national and international shipping procedures;
- Strong interpersonal skills and customer relationship building skills
- Ease to communicate effectively and clearly
- Ability to multitask and work under pressure
