Data Entry Assistant — Pilot R&D (Remote, Full-Time)
This role requires English proficiency, both written and spoken.
The Vision
At Pilot R&D, ingredients are the foundation of everything we do. As a culinary innovation and product development company, we help food and beverage brands bring their ideas to life — from cookies to kombucha. Behind every successful recipe is accurate, reliable data.
Accurate ingredient data powers all our work — and you’ll play a key role in keeping our internal database (The Walk-In) clean, organized, and reliable as we work across dozens of fast-moving projects.
Who We’re Looking For
We’re seeking a detail-driven, tech-savvy, and proactive person who enjoys structured work, organizing information, and solving small data puzzles.
If you love accuracy, can spot inconsistencies quickly, and enjoy turning messy inputs into clean, precise data — this role will fit you perfectly.
You’ll support our Ingredient Sourcing team by reviewing supplier emails, extracting critical details (pricing, MOQs, certifications, etc.), and entering them into our system with accuracy and consistency.
Why You Should Join Us
* Be part of a fast-moving, innovative food and beverage development company working with top industry brands.
* Join a small, collaborative team that values communication, curiosity, and growth.
* Play a key role in shaping a new, foundational position within the company — you’ll help define what great data accuracy looks like for Pilot R&D.
* Work remotely and independently, while still being connected daily through Slack and team check-ins.
Role Responsibilities
* Enter all ingredient information into The Walk-In, our internal platform.
* Upload supporting documents such as specification sheets, nutritional facts, GRAS and non-GMO statements, and certifications.
* Input supplier data: pricing tiers, minimum order quantities, lead times, and FOB locations.
* Set up new supplier profiles and maintain contact information.
* Identify missing information and coordinate with the Sourcing Manager and Coordinator to complete data entries.
* Perform regular data cleanup and validation to ensure accuracy and consistency.
* Collaborate closely with the sourcing team to ensure smooth data flow and transparency.
Skills & Experience
Must Have:
* Exceptional attention to detail and accuracy.
* Strong written and reading English skills.
* Reliable communication and responsiveness during 9 AM–5 PM PST business hours.
* Comfortable interpreting information from emails and attachments
* Proficient in Google Workspace and Microsoft Office.
* Proactive, organized, and comfortable following structured processes.
* Tech-comfortable and willing to learn internal tools quickly.
Nice to Have:
* Experience with Excel/Google Sheets or database tools.
* Prior exposure to purchasing, procurement, or ingredient sourcing.
* Background in food science, nutrition, chemistry, biology, or lab work.
* Basic knowledge of coding or systems integration.
* Familiarity with metric units.
