As an Operations Assistant, you will act as the right hand of the COO, supporting daily operations, client communication, product portfolio coordination, and administrative tasks.
This role focuses on organization, research, communication, and proactive follow-up. You will help manage the COO’s schedule, support research on target audiences for different products, assist with client outreach, and ensure opportunities are organized and followed up properly. You will play an important role in keeping operations running smoothly while helping the COO stay focused on strategic priorities.
Key Responsibilities
* Manage the COO’s calendar and schedule meetings.
* Handle written communication with clients (email, LinkedIn, messaging apps) in fluent business English.
* Respond to inbound messages and follow up on conversations when needed.
* Support outreach to potential clients and partners via email, LinkedIn, or messaging platforms.
* Coordinate and schedule sales or discovery calls between potential clients and the COO.
* Research and map potential target audiences for different products in the portfolio.
* Take meeting notes and summarize key points and action items.
* Draft follow-up emails and internal or client-facing documents.
* Organize files, documentation, and internal processes.
* Conduct research on market trends, competitors, and potential target audiences for the company’s products.
* Support day-to-day administrative and operational tasks as needed.
Requirements
* Fluent English (written and spoken — business level).
* Must reside in Brazil.
* Excellent written communication skills.
* Strong organizational skills and attention to detail.
* Experience with administrative support, operations, or executive assistance.
* Professional and confident communication when interacting with potential clients.
* Proactive mindset and ability to anticipate needs and follow up without constant supervision.
* Comfortable working independently and managing multiple tasks remotely.
Nice to Have
* Previous experience as an Executive Assistant, Operations Assistant, or Virtual Assistant.
* Familiarity with tools like Google Workspace, Notion, CRM systems, or task management tools.
* Experience supporting founders, executives, or leadership teams.
