They source ingredients globally and operate their own production facility. We are hiring a remote Admin & Inventory Operations Assistant to support the business owner directly — managing daily operations, inventory coordination, vendor follow-ups, and administrative workflows. Position Overview We are seeking a sharp Administrative & Operations Assistant to support our client company's growing manufacturing business. This role will focus on helping reduce operational and administrative workload by handling order entry, email management, scheduling, inventory-related coordination, and vendor follow-ups. The ideal candidate is highly organized, detail-oriented, trainable, and able to manage many small operational tasks accurately and consistently. Key Responsibilities Enter and manage orders accurately Handle and organize high-volume email communications Assist with scheduling and operational coordination Process purchase orders Follow up on deliveries and vendor timelines Coordinate with suppliers regarding inventory and shipment issues Help ensure inventory and operational information is accurate Support administrative tasks related to inventory management Work inside Fishbowl inventory management software Assist with repetitive operational and administrative tasks Use AI tools such as Claude/ChatGPT to improve workflow efficiency Review and verify information for accuracy before submission Qualifications Strong organizational skills and attention to detail Strong written and verbal English communication skills Ability to learn new systems and processes quickly Comfortable handling repetitive operational work Strong problem-solving and follow-up skills Ability to work independently with minimal supervision Proficiency with: Microsoft Office, Google Sheets, Email and calendar management tools Ability to manage multiple tasks simultaneously Preferred Qualifications Experience with Fishbowl inventory management software or similar softwares Experience supporting manufacturing, inventory, logistics, or operations environments Basic familiarity with Adobe InDesign / Canva is a plus, but not required Ideal Candidate Traits Organized and dependable Detail-oriented and accurate Persistent and proactive Calm under pressure Comfortable in fast-paced operational environments Able to follow through consistently on tasks and unresolved issues
