Intellectual Property Project Coordinator

This role involves overseeing patent filing requests. You will work closely with clients, translators, and internal teams to ensure timely delivery, within scope, and to the highest standards. Responsibilities include coordinating various aspects of patent filings, such as budgeting, scheduling, docketing, document submission, and quality assurance.
This is a full-time remote position in the Pacific Standard Time (United States) time zone. Working hours are Monday - Friday, 9:00am - 5:30pm PST. Proficiency in English (spoken and written) is required for this role, as you will be working with English-speaking teammates and clients.
Key Responsibilities:
* Preparing documents for EP, PCT, and foreign applications.
* Initiating responses to official communications and notifications proactively.
* Filing EP/international and foreign patent applications and related correspondence from filing to grant issuance.
* Maintaining assigned cases and ensuring deadlines are met in a timely manner.
Essential Skills and Required Experience:
* 1-2 years of experience as a patent paralegal in a law firm or corporate setting.
* Experience working with EP, PCT, and foreign applications.
* Strong organizational, leadership, and management abilities.
* Significant experience managing complex projects.
* Excellent communication skills, both verbal and written.
* A successful track record of collaboration with diverse stakeholders.
Preferred Qualifications:
* Experience implementing translation tools into existing workflows.
* Comfort working with CAT tools (memoQ fluency a plus) and various Machine Translation engines.
* Ability to define processes and standards for translation and quality assurance.
* Skilled at training internal and external users in MTPE & TM workflows.
* Skilled at vendor recruitment and negotiations.
