We are looking for an Archive Assistant to join our team! We seek a motivated professional eager to provide excellent service to our clients. Your responsibilities will include researching and verifying requested documents, handling documentation, cleaning, organizing, and registering incoming and outgoing boxes according to company procedures.
RESPONSIBILITIES
* Manage the entry and exit of research requests via client emails, internal system, or client system;
* Register and search document data in specific systems or spreadsheets provided by clients, especially when incomplete, following supervisor instructions;
* Verify and search for physical documents, images, or copies as requested by clients;
* Forward requested documents to the routing department for delivery or return, noting any discrepancies in the system;
Follow instructions to locate document boxes (aisles, shelves, levels), and return them after research;
* Complete daily activity reports (OPLOG form) as per IMB procedures for productivity monitoring;
* Assist other departments and perform related tasks as directed by your supervisor when not engaged in primary duties;
* Update control spreadsheets and input data into internal or client-specific systems;
* Perform activities exclusive to the GAA (Active File Guard), Archive Organization (O.A), Research, and Site (per contract):
* Assist clients by phone with document requests and support online inquiries;
* Receive and verify physical documents via courier, confirm receipt in the system;
* Perform external services at client sites or other company units, including document verification, preparation, and organization for storage.
REQUIREMENTS
* High school diploma completed
