Job Summary
This role supports the commercial team with administrative tasks related to proposals and contracts. It is an entry-level position that offers opportunities for career development in a dynamic and evolving industry.
Responsibilities
Provide administrative support to the Proposal and Contracts Management team (e.g., photocopying, managing travel logistics, report generation, filing, scheduling meetings, data/document compilation).
Assist SharePoint administrator with file access and organization.
Handle complex assignments independently, requiring initiative within established guidelines.
Research and compile data; analyze data for special projects as needed.
Support low-complexity projects related to proposal and contract management (e.g., contract management, cost estimation, invoicing).
Facilitate documented processes, ensuring adherence to procedures.
Contribute to process improvements to enhance efficiency and quality.
Coordinate client visits, including drafting agendas and managing logistics.
Perform timely data entry into corporate databases.
Generate scheduled and ad hoc reports.
Assist with onboarding activities for new staff.
Support process improvement initiatives and their implementation.
Ensure department compliance training is completed and records are maintained.
Perform other duties as assigned by the manager.
Minimum Qualifications
At least 3 years of relevant experience.
Excellent customer service skills, attention to detail, and tactful persistence.
Proficiency in MS Office (Excel, Word, Outlook).
Strong planning, multitasking, and prioritization skills.
Effective teamwork, communication, and organizational skills.
Ability to work independently and communicate effectively.
Positive attitude and sense of urgency.
