Executive Coordinator
This role involves operating as the key support person who ensures seamless execution, streamlined operations, and efficient communication.
You'll be responsible for managing complexity across client operations, team coordination, and strategic initiatives while maintaining details that enable leadership to execute without hindrances.
To achieve this, you will:
* Own and manage evolving professional and personal calendars, prioritizing meetings, logistics, and follow-up actions to ensure optimal time utilization.
* Serve as a gatekeeper for the CEO's time, protecting strategic blocks and eliminating non-essential time drains.
* Triage emails and Slack messages, draft responses in the CEO's voice, and facilitate alignment with internal and external stakeholders with clarity and urgency.
* Ensure only signal (not noise) reaches the CEO's attention.
* Manage communication with clients, team leads, and external partners effectively.
* Run point on weekly syncs with the CEOs, ensuring alignment on client operations, team performance, hiring initiatives, and strategic projects.
* Prepare agendas in advance, ensure necessary materials are available, and capture action items that get closed without reminders.
* Attend key meetings to support execution and accountability.
* Lead or support special projects such as systems development, talent acquisition initiatives, or client deliverables.
* Partner on key company initiatives and ensure post-launch follow-through.
* Coordinate across various teams including scriptwriters, video editors, client success managers, and pod leads.
* Oversee business and personal travel planning with layered contingencies, clear itineraries, and zero details missed.
* Be available for occasional travel alongside the CEOs as needed.
* Manage responsibilities with discipline, stepping in wherever needed with a proactive mindset and strong sense of ownership.
* Handle high standards, direct feedback, and shifting targets without drama.
