About the Role

Fund Onboarding & Registration

* Register new funds in the internal system, ensuring complete and accurate setup of fund parameters, counterparties, and reference data.
* Maintain registration data updated throughout the fund lifecycle, coordinating with managers, custodians, and administrators when changes occur.
* Ensure that all required documentation is collected, validated, and archived before activation.

Cash Flow & Settlement Operations

* Coordinate the end-to-end flow of disbursements, payments, and portfolio movements across funds, ensuring timely and accurate execution.
* Interface with custodians, administrators, and internal teams to settle operations within agreed deadlines.
* Monitor pending settlements and escalate exceptions or delays to the Middle Office Lead.

Reconciliation & Controls

* Perform monthly reconciliation between bank statements, custodian reports, and internal system records, identifying and resolving breaks.
* Document reconciliation outcomes and maintain audit trail for all adjustments and corrections.
* Propose improvements to reconciliation routines and controls to reduce manual effort and operational risk.

System Maintenance & Data Quality

* Support the general maintenance of the operational system, ensuring data integrity, consistency, and availability for downstream users.
* Monitor data quality issues feeding the portal and other internal tools; coordinate fixes with IT when required.
* Contribute to system testing, parameter updates, and continuous improvement of operational workflows.

Manager Reporting & QRR Material

* Request monthly management reports from fund managers, ensuring delivery within established timelines.
* Follow up actively on outstanding reports and escalate delays that may impact internal deliverables.
* Receive, organize, and archive all reports in the appropriate repositories, keeping the document base structured and easily accessible.

Cross-Functional Data Support

* Support data inputs and information requests from Lending, Accounting, Finance, and Risk teams, ensuring consistency across reporting layers.
* Act as the operational point of contact for ad-hoc requests involving fund data, transactions, and reconciliations.
* Contribute to building and maintaining the operational knowledge base as new funds and processes are onboarded.

Requirements

* Fluency in Portuguese and English (mandatory).
* Bachelor's degree in Business, Economics, Accounting, Engineering, or related field.
* 2–5 years of experience in middle office, back office, fund operations, or operations within a fintech, asset manager, FIDC structure, or bank.
* Hands-on experience with fund registration, settlement flows, reconciliations (bank statements vs. system), and operational controls.
* Familiarity with FIDC structures, custodians, fund administrators, and the typical document flow of management reports.
* Solid Excel skills and comfort working with large operational datasets. Exposure to BI tools (Power BI, Streamlit) and AI tools (e.G. ChatGPT, Claude, Copilot) to support analysis, documentation, and process automation is a plus.
* Strong attention to detail, sense of ownership, and ability to manage recurring deadlines without losing accuracy.
* Good written and verbal communication skills to interact with fund managers, custodians, administrators, and internal teams (Lending, Accounting, Finance, Risk).
* Process-oriented mindset: ability to structure routines, identify operational gaps, and propose practical improvements in a fast-growing environment.
