Closing More Cases (CMC) is seeking a motivated and results-driven
Appointment Setter
to join our team. In this role, you will play a crucial part in driving the success of our dental practice clients by engaging with leads, pre-qualifying them, and scheduling high-quality consultations. The ideal candidate is an excellent communicator who thrives in a fast-paced, team-oriented environment and is passionate about helping businesses grow.

Key Responsibilities:
1.
Lead Engagement:
Conduct outbound calls, emails, and texts to engage potential patients who have expressed interest in our clients' services. Use a friendly and professional approach to build rapport and assess patient needs.
2.
Pre-Qualification: Pre-qualify leads based on financial readiness, clinical suitability, and interest level to ensure high-quality consultations for dental practices. Ask targeted questions to gather necessary information and determine lead eligibility.
3.
Scheduling Consultations: Coordinate and schedule appointments using CRM and scheduling tools. Ensure appointments align with the availability and preferences of both the patient and the dental practice.
4.
Follow-Up Communication: Send reminders and confirmations to reduce no-show rates and keep patients engaged. Follow up with leads who were initially hesitant to schedule, nurturing them toward commitment.
5.
CRM Management: Accurately document all lead interactions, including conversations, outcomes, and next steps. Maintain an organized and up-to-date pipeline in the CRM for tracking and performance analysis.

Collaboration: Work closely with the sales and marketing teams to align strategies and ensure a seamless patient journey. Provide feedback on lead quality and campaign performance to improve outcomes.
Key Performance Indicators (KPIs): Daily call volume and engagement rates. Lead-to-appointment conversion rates. Consultation show rates. Overall contribution to client case acceptance rates.
Qualifications:
Experience: 1+ years in customer service, sales, or appointment setting
Skills: Exceptional communication and interpersonal skills. Strong ability to build rapport and handle objections effectively. Proficiency in CRM tools and scheduling software.
Characteristics: Self-motivated, goal-oriented, and detail-focused. Team player who thrives in a collaborative environment. Ability to multitask and adapt to a dynamic work environment.

A Day in the Life of a CMC Appointment Setter
8:30 AM – Start the Day
Log into the CRM and review leads generated overnight. Prioritize new and high-interest leads. Join a quick team huddle (if applicable) to align on goals and strategies for the day.
9:00 AM – Morning Calls (First Block) Begin making outbound calls to new leads, introducing yourself and the client's dental practice. Pre-qualify leads by asking key questions about their dental needs, financial readiness, and interest in treatments like implants or full-arch restorations.
12:00 PM – Midday Follow-Ups and Confirmations Follow up with warm leads who previously expressed interest but haven't scheduled yet. Confirm upcoming consultations, answering any patient questions to reduce no-shows. Use automation tools to send follow-up texts or emails as needed.
12:30 PM – Lunch Break
1:30 PM – Afternoon Calls (Second Block) Continue outbound calls to older leads and long-term follow-ups. Handle objections and explain financing options to patients hesitant about costs. Focus on scheduling high-quality, pre-qualified consultations.
3:30 PM – Administrative Tasks Update the CRM with notes from calls, including patient concerns and next steps. Organize lead pipelines and share updates with the team about trends or challenges.
4:00 PM – Final Call Block Make a final push to connect with remaining leads or missed calls from earlier in the day. Aim to schedule additional consultations before the end of the day.
5:30 PM – Wrap-Up Review your performance, including total calls made, appointments scheduled, and conversion rates. Submit a daily summary to your team lead and prepare high-priority leads for follow-up tomorrow.
Minimum Expectations: 150 Calls Per Day: Every appointment setter is expected to make at least 150 calls daily. Daily Goal: Schedule 1-2 pre-qualified appointments and maintain a strong conversion rate by effectively engaging with leads.
