Role Summary
As Avanto scales our 300-person workforce, the efficiency of our internal operations is critical. We are seeking a highly structured, assertive Project Manager to drive our internal strategic initiatives across Operations, HR, and cross-functional departments.
We are continuously advancing how we operate through automation and emerging AI capabilities, and this role plays a key part in driving those efficiencies across the organization.
This role is the antidote to\ "scope creep\" and undocumented meetings. We need a driver who can step into ambiguous strategic discussions, extract the concrete deliverables, define the scope, and relentlessly manage the execution. While you will not be managing client deployments or writing software code, you will act as the crucial link between our operational leaders and our internal systems/support teams. You will ensure that before we implement a new workflow or build a new internal tool, the business requirements are meticulously documented and agreed upon.
Key Responsibilities
Scope Capture & Definition
* Own the Meeting Outcome: Attend internal strategy and planning meetings to act as the definitive owner of project scope. Ensure no meeting ends without documented consensus on exactly what is being executed, who owns it, and the timeline.
* Translate Strategy to Action: Take high-level concepts from operations and HR leaders and distill them into strict, clear, and executable project plans.
* Prevent Scope Creep: Act as the gatekeeper for internal initiatives, ensuring that any additions to a project's scope are properly vetted, documented, and given updated timelines.
Operations & Systems Liaison
* Define Business Requirements: Partner with Operations to map out current workflows, identify bottlenecks, and document clear business requirements for new tools or processes.
* Guide Systems Implementation: Manage the rollout of both off-the-shelf operational solutions and custom-built internal tools.
* Support Internal Builders: Ensure that our internal development/systems support teams are only handed fully scoped, approved, and documented business requirements, preventing ad-hoc interruptions and misaligned builds.
Internal Project Leadership & Execution
* Drive Cross-Functional Delivery: Manage complex internal initiatives—such as operational restructuring, HR program launches, or new system integrations—from inception to completion.
* Hold Stakeholders Accountable: Competently and confidently follow up with internal stakeholders at all levels (including Directors and VPs) to ensure tasks and dependencies are completed on time.
* Maintain the Source of Truth: Build and maintain comprehensive project boards and dashboards (using Jira, Notion, etc.) so leadership has real-time visibility into internal project health.
Required Skills & Competencies
* Assertive Stakeholder Management: You are not afraid to hold department heads accountable to their deadlines. You can lead laterally without formal reporting authority.
* Exceptional Scope Discipline: A proven track record of taking ambiguous business conversations and locking them down into clear, documented project scopes.
* Business Process Mapping: You naturally see how to organize chaos into a step-by-step workflow and can clearly articulate how an operation should function.
* Tool Mastery: Expert-level proficiency in project management and documentation tools like Jira, Notion, Asana, or Monday.Com
* Communication: Direct, clear, and highly organized written and verbal communication.
* Experience leveraging automation or AI tools to improve workflows is preferred
Experience & Qualifications
* Experience: 3–6 years of project management experience, with a heavy emphasis on internal operations, process improvement, or business systems implementation.
* Cross-Departmental Exposure: Proven experience running projects that span multiple internal departments (e.G., HR, IT, Operations).
* Education: Bachelor’s degree in Business Administration, Operations, Project Management, or a related field.
Key Performance Indicators (KPIs)
* Internal Delivery Rate: Percentage of internal operational projects delivered within planned timelines.
* Scope Fidelity: Accuracy of initial project documentation and the minimization of undocumented post-kickoff changes.
* Process Adoption: Successful rollout and sustained adoption of new internal workflows and operational systems.
Salary: $1,500-2,000 monthly USD
