Join to apply for the Administrative Coordinator, Senior - Facilities role at Amentum.Get AI-powered advice on this job and more exclusive features.ResponsibilitiesProvide direct individual assistance and comprehensive administrative support to Facilities Maintenance managers, supervisors, engineers, foremen, tradespersons, various McMurdo departments, transient South Pole personnel, and Denver staff.Manage process and information flow related to re/deploying Facilities personnel, including arrival packets, training schedules, required forms, directory updates, network permissions, database access, timesheet setup, and general orientation support.Assist in training and supporting new foremen with administrative tasks such as weekly reports, safety inspections, timesheet approvals, and meetings.Collect and collate weekly SITREP input from all foremen for Facilities Management approval before submission to Station Management.Provide ongoing timesheet support for Facilities tradespersons and approvers.Create training materials, forms, and processes to support Quality and continuous improvement initiatives.Offer frontline tech support, including installing printer drivers, providing basic software instructions, and troubleshooting office machines prior to helpdesk tickets.Coordinate office assignments, ensure proper workstation setup, and manage related supplies.Handle projects like staging hazardous equipment inspections and preparing calibration ERRs.Manage inventory such as pagers, keys, cameras, and engineering equipment.Maintain safety documentation, permits, maps, and drawings; coordinate drafting changes.Support scheduling for conference rooms and coordinate meetings.Oversee office housekeeping, inventory, and supplies, and maintain a clean, organized work environment.Maintain knowledge of USAP activities and interagency relationships; provide informational support to USAP participants.Approach problem-solving proactively and communicate professionally via phone, email, or in person.Handle confidential matters per management policy.Support ASC and NSF goals, policies, and record-keeping requirements.Maintain files, correspondence, policies, reports, and directives.Ensure workplace safety and perform physical tasks as required.Assist with Knowledge Management programs and perform other duties as assigned.Minimum RequirementsHigh School diploma or GED.At least four years of experience in a secretarial or administrative role.Skills and CompetenciesAbility to multitask effectively.Proficiency with Microsoft Excel, Word, PowerPoint, and Outlook.Preferred QualificationsBachelor's degree or completion of an accredited secretarial program.Experience in operations, supervision, project management, or hospitality/resort industries.Physical and Other RequirementsWillingness to deploy to Antarctica for extended periods.Successful medical, dental, drug screening, and background checks as required by NSF.Ability to lift and move items up to safety regulation maximum.Ability to perform physical activities in extreme cold and outdoor environments.Participation in community programs and possession of a valid U.S. driver's license.Amentum is an Equal Opportunity Employer.
