Senior Operations Representative (Boarding Agent)
Business Need / Purpose of Role: The Senior Operations Representative (Boarding Agent) reporting to Operations Manager is responsible for providing logistics service to our Principals to ensure the safe and smooth turnaround of all appointed vessels within the jurisdiction of the port office. The Representative manages vessel requirements, procurement of relevant vendor services, and undertakes vessel boarding as required, while supporting Inchcape’s round‑the‑clock on‑call services commitments.
Objectives & Measurement – Key Responsibilities
Determine berth availability, local port conditions, and terminal requirements; communicate these to ship captains and Principals; assist captains with advice on meeting conditions.
Provide pre‑arrival lists of required items; review Principal responses; decide if ships meet requirements; advise on options.
Contact local river or bar pilot associations; gather pilot activity information to aid Principals.
Assist with crew lodgings, travel, and transportation; report crew change issues; recommend solutions; implement Principal decisions.
Obtain services (medical, food, etc.) for vessels; coordinate vendors; report service provision to Principals.
Conduct ship boarding duties; meet with captains to facilitate communication with government officials; collect required documentation; gather tug and pilot schedules.
Monitor and service Principals’ operations; prepare Statements of Facts (SoF) for each port call; provide SoF to Principals and capture entries from ships and terminals.
Prepare and ensure accuracy of pre‑arrival documentation and visitor/vendor lists; coordinate sailing arrangements; update arrival and departure details; send daily updates.
Pursue new methods to reduce operational costs and improve efficiency.
External Providers
Maintain relationships and liaise with clients, vendors, terminals, government officials, and port services; attend regular meetings.
Ensure timely issuance of shipping documentation.
Suggest process improvements to enhance service delivery.
Operating System and Data Integrity
Utilize POPDA according to company procedures.
Perform accurate and timely system updates for fresh data.
Maintain accurate timekeeping records for performance evaluation.
Follow internal and external procedures to ensure compliance with ISS, customer standards, and legal requirements.
Meet all procedural Key Performance Indicators (KPIs).
Knowledge, Skills, and Abilities
Foundational knowledge of port operations.
Competent Microsoft Office suite user (Outlook, Excel, Word).
Clear written communication skills.
Ability to balance multiple tasks, adapt to changing priorities, and operate within deadlines.
Education, Qualifications, Certifications, and Licenses
High School diploma or GED equivalent required.
Bachelor’s degree in Maritime Administration, Business Administration, or related major desired.
0–4 years’ experience in the general maritime industry with exposure to various commodities and vessel types.
