Podcast Producer Role Overview
This role involves managing the full production workflow of a weekly interview podcast. It includes guest communication, scheduling, episode preparation, editorial coordination, and project management from pre-production through publishing.
The ideal candidate must be able to communicate professionally, manage multiple moving pieces, and maintain a calm, supportive tone consistent with the podcast's brand.
Key Responsibilities:
1. Guest Communication & Outreach: Manage all communication with guests from initial outreach to post-episode follow-up, schedule interviews, send confirmations/reminders, and provide prep materials.
2. Episode Planning & Production: Prepare episode briefs and host prep sheets, attend live recordings (optional but preferred) to track timestamps and notes, review raw audio/video and provide clear, detailed edit notes to the editor, and restructure episodes when needed for clarity, flow, and narrative arc.
3. Editing Coordination: Send the editor cut notes that are clear, accurate, and time-stamped, review first edit, request revisions, and ensure quality before publishing.
4. Publishing & Show Management: Write compelling show notes, descriptions, summaries, and timestamps, prepare publishing assets (titles, tags, categories, episode artwork if needed), upload weekly episodes to our hosting platform, track episode performance metrics, and maintain publishing calendar.
5. Marketing & Promotion Support: Coordinate with the social media team to deliver clips, quotes, and captions, identify promotional opportunities through guests' audiences, support the creation of audiograms, reels, and short-form content briefs.
6. Monetization & Growth: Assist in creating sponsorship decks and packages, research relevant brand partners to pitch, coordinate guest cross-promotion to increase downloads, identify podcast swaps and collaboration opportunities, track growth trends, and propose strategies to expand reach.
7. Host & Media Outreach: Research aligned podcasts across wellness, entrepreneurship, marketing, leadership, mental health, women's health, lifestyle medicine, and business growth, create a list of high-quality podcasts suitable for Riley as a guest, draft personalized podcast pitches in Riley's voice, send and manage outreach emails to podcast hosts and producers, track outreach, follow-ups, and confirmed appearances, coordinate scheduling, prep materials, and talking points, prepare Riley with a one-sheet, interview brief, and relevant episodes of the host, identify opportunities for backlinks, newsletter swaps, and co-marketing, and track results and optimize pitches based on acceptance rates.
