Administrative Assistant
Job Description
**Key Responsibilities**:
Develop administrative tasks and related documentation processing for the department, following established procedures and guidelines.
Maintain updated departmental documents and provide support in preparing reports, statistics, and other related materials.
Ensure compliance with applicable procedures and rules in each case.
**Collaboration and Communication**:
Facilitate internal information exchange between departments.
Assist in updating and ensuring compliance of policies and procedures within the Human Resources department and its areas of responsibility.
Communicate effectively with public services and support HR management tools (Successfactors, Hispins, Clocking).
**Data Management and Reporting**:
Support data collection for various control systems.
Update and maintain IT tools for the area.
Produce invoices, delivery notes, receipts, orders, and handle sales, charges, and unpaid activities.
**Ethics and Compliance**:
Adhere to Ficosa's Code of Ethics to prevent fraudulent practices.
Comply with the Information Security Management System (ISMS) applicable to the job, including related training.
**Professional Development**:
Actively contribute to maintaining, promoting, and improving OHSE and Quality Department initiatives.
**Requirements**:
Academic Background:
Higher education or professional training, mainly in administration.
Languages:
Fluent local language and basic English (spoken and written).
Experience:
Minimum of 2 years as an administrative technician in a human resources department.
