Senior Executive Demurrage & Detention - The role ensures accurate calculation, timely billing, dispute resolution, cost recovery, and compliance with carrier contracts and internal policies. The position plays a critical role in minimizing financial exposure, protecting margins, and supporting operational efficiency within the shipping agency. Main Tasks and Responsibilities: Demurrage & Detention Management Monitor demurrage and detention exposure for all import and export shipments. Calculate demurrage and detention charges accurately as per carrier tariffs, contracts, and free-time agreements. Coordinate closely with Operations and Documentation teams to track container movements and free-time utilization. Ensure timely issuance and follow-up of demurrage and detention invoices to customers. Dispute Resolution & Recovery Handle demurrage and detention disputes with customers, terminals, and carriers. Prepare and submit waiver, extension, or reduction requests supported by proper documentation. Follow up on approvals, settlements, and recoveries to minimize financial losses. Maintain detailed records of disputed and approved cases for audit and reporting. Reporting & Analysis Prepare periodic demurrage and detention reports highlighting exposure, recoveries, and outstanding risks. Analyze root causes of high demurrage and detention costs and propose corrective actions. Share insights with management to improve operational planning and container turnaround. Compliance & Controls Ensure compliance with internal controls, approval matrices, and contractual terms. Maintain accurate documentation for audit readiness and management review. Ensure adherence to Brazilian regulatory and documentation requirements related to invoicing and collections. Stakeholder Coordination Coordinate with internal teams (Operations, Finance, Customer Service, Commercial) for issue resolution. Communicate professionally with customers, carriers, terminals, and depots regarding charges and disputes. Support management initiatives to reduce long-stayed containers and operational inefficiencies. Key Performance Indicators (KPIs): Reduction in demurrage and detention costs through proactive management and recovery 30% Timely and accurate calculation and billing of demurrage and detention charges 25% Successful resolution and recovery of disputed demurrage and detention cases 20% Timely submission of reports and visibility on exposure and risks 15% Compliance with internal controls, contracts, and audit requirements 10% Key Interactions: Internal: Operations, Documentation, Finance, Customer Service, Commercial External: Customers, Shipping Lines, Terminals, Depots, Auditors (as required) Core Competencies (Grade D Professional Level): Integrity & Accountability: Ensures accuracy, transparency, and ethical handling of financial exposures. Customer Focus: Balances customer relationships with cost recovery and contractual compliance. Continuous Learning: Keeps updated on carrier tariffs, free-time rules, and operational practices. Agility: Responds effectively to operational challenges and tight deadlines. Collaboration & Communication: Works closely with cross-functional teams to resolve issues. Functional Competencies (Grade D Professional Level): Demurrage & Detention Expertise: Strong understanding of free time, tariffs, and carrier contracts. Dispute & Claims Management: Ability to manage negotiations and documentation for charge reductions. Operational Coordination: Works with operations to reduce container dwell time. Data Analysis & Reporting: Interprets exposure data to support decision-making. ERP & Operational Systems: Proficient in shipping and accounting systems used for tracking charges. Attention to Detail: Ensures accuracy in calculations, documentation, and reporting. Education and Experience Requirements Education: Bachelors degree in Logistics, Shipping, Business Administration, Finance, or related field. Experience: 46 years of experience in demurrage and detention management within a shipping agency or logistics environment. Strong exposure to import/export operations and container lifecycle management. Experience dealing with carriers, terminals, and depots. Experience in shipping, liner agency, or freight forwarding operations preferred. Portuguese Fluent (required). English Fluent (required). Work Environment and Specific Requirements: Office-based role with close coordination with operations and finance teams. Requires high attention to detail, strong follow-up, and negotiation skills. May require extended working hours during peak operational periods or vessel delays. Reports directly to the Manager Operations/ Finance for task allocation and performance review.
