What You'll Be Doing
Financial Administration and Analysis (45%)
Maintain, validate, and reconcile project budgets, forecasts, and actuals to ensure financial accuracy and visibility.
Develop and report on dashboards that track key KPIs such as utilization, billability, margin, and project health.
Create and manage departmental dashboards that measure progress toward financial and operational goals, supporting leadership with timely, data-driven insights.
Build ad hoc dashboards and analyses to address emerging business needs or strategic questions.
Analyze financial and operational data to identify trends, risks, and opportunities for improved forecasting and profitability.
Translate findings into actionable insights that strengthen planning and decision‑making.
Partner with Finance and PMO to align data and maintain consistent reporting and forecasting standards.
Project Administration – PMO & Resource Management Support (45%)
Project & Tool Administration
Maintain and update project data, tasks, milestones, and budgets in Kantata or similar tools.
Ensure consistent project setup, accurate data entry, and adherence to PMO standards.
Manage user access, templates, and project documentation.
Support project managers with scheduling, timesheet compliance, and coordination of project activities.
Resource Management
Monitor and manage resource allocation and utilization across active projects.
Identify over‑ and under‑utilization and recommend balancing actions.
Maintain a forward‑looking resource forecast and facilitate staffing discussions.
Develop and maintain resource forecasting models to support long‑term capacity planning.
Partner with project managers and department leads to align staffing with business priorities.
Provide insights into skill gaps and resource trends to inform recruiting and training.
Process Improvement and Administrative Support (10%)
Serve as a power user and administrator for Kantata, ensuring accuracy and compliance across projects.
Implement workflow improvements that enhance reporting and operational efficiency.
Develop and maintain templates, guides, and training resources to reinforce standards and promote adoption.
Facilitate forecasting and resourcing meetings, documenting outcomes and ensuring timely follow‑up.
Support onboarding, timesheet compliance, and general Finance and PMO administration.
Identify automation and tool enhancements that drive continuous improvement.
What We'd Love to See
Bachelor's degree in Business Administration, Finance, Project Management, or a related field.
3+ years of experience in financial operations, resource management, or project coordination.
Proficiency with project and financial tools (e.g., Kantata, Smartsheet, or similar).
Advanced Excel/Google Sheets skills and familiarity with tools such as Power BI or Miro.
Strong analytical, organizational, and problem‑solving abilities with keen attention to detail.
Excellent communication and collaboration skills across Finance and Project teams.
Experience with forecasting, budgeting, and performance analysis.
Demonstrated initiative in improving processes and translating data into actionable insights.
