Key Responsibilities
Proactive and detail‑oriented IT Procurement Administrator to support the IT department in managing third‑party vendors, ensuring compliance with IT standards, and driving operational efficiency. This role is pivotal in maintaining strong supplier relationships, overseeing risk and compliance processes, and supporting IT procurement initiatives across the business.
The post holder will work alongside global colleagues in supporting the business and would be expected to work across multiple time zones, on a per‑project basis. This position provides exposure to a broad range of IT‑related projects and activities, and new technology introductions to the business.
Key Roles, Tasks and Responsibilities
Vendor Management
Manage relationships with third‑party vendors delivering core IT solutions to Airswift.
Oversee the supplier onboarding process.
Ensure vendor compliance with contractual obligations and agreed SLAs.
Collaborate with suppliers to identify cost savings and eliminate inefficiencies.
Proactively monitor contract expiry dates to ensure timely re‑negotiation and renewals.
Procurement & Budget Management
Develop and implement streamlined procurement processes for technology expenditure, ensuring consistent management of both new and renewal spending.
Manage supplier costs in line with the IT budget and ensure transparency for cross‑charging business units for usage.
Handle contract renewals for key IT services, ensuring cost‑effective and aligned solutions.
Vendor Risk & Compliance
Identify and elevate potential risks in service delivery, performance, or spending that may impact IT or the wider business.
Vendor Performance Monitoring & Reporting
Track and analyze supplier performance using Excel and dashboard reporting tools.
Monitor user access and IT licenses, ensuring timely deactivation of unused accounts.
Security & Awareness
Lead the implementation and maintenance of relevant procurement and supplier management policies and standard operating procedures in line with ISO27001 requirements.
Develop and maintain training materials for the Information Security Management System (ISMS) and requirements of ISO27001 pertaining to supplier onboarding, management and review.
Innovation & Collaboration
Work closely with internal stakeholders to promote innovation within the technology ecosystem.
Communicate relevant technology and security updates to the business to drive adoption and best practices.
Collaborate with the Quality Dept on matters relating to ISO27001 compliance and opportunities for improvement, such as those identified through internal audits and supplier performance review.
Skills, Knowledge, and Experience
Proven experience in IT administration, vendor management, or procurement support.
Experience with contract negotiation and supplier onboarding.
Strong understanding of IT compliance frameworks, particularly ISO27001.
Proficiency in Excel and dashboard reporting tools.
Excellent communication and stakeholder management skills.
Analytical mindset with a proactive approach to problem‑solving.
